ChatGPT Client Data Privacy: Stop the Leak Before It Costs You a Client

Most freelancers who use ChatGPT for client work have no idea that, out of the box, their conversations can be used to train OpenAI’s models. That means a client’s budget numbers, their internal processes, their unreleased product names — all of it can pass through a system that, by default, learns from what you type.

ChatGPT’s Mac desktop app and the broader Computer Use / memory features that have been rolling out make this more urgent, not less. The app sits persistently on your desktop, it can reference past conversations, and if you haven’t touched the privacy settings, you’re operating with the defaults — which are not the most conservative option.

This guide gives you the exact steps to lock it down, what to say to clients, and how to make your privacy practice a selling point instead of a liability.

Quick verdict: You can use ChatGPT safely for client work — but only after you change three specific settings and adopt one simple workflow habit. The steps below take under 15 minutes and work on both the free and Plus plan.

Before You Start: A 60-Second Privacy Checklist

Run through this before you open a single client project in ChatGPT. Each item maps to a full step below.

  • ☐ You know whether Chat History is currently on or off in your account
  • ☐ You’ve confirmed whether “Improve the model for everyone” is enabled
  • ☐ You have a plan for what client information you will and won’t paste into any AI tool
  • ☐ You’re ready to send clients a one-paragraph AI use statement if they ask

If any of those feel unclear, the steps below fix all of them. Let’s go.

Step 1 — Turn Off Chat History (the Most Important Setting)

With Chat History off, OpenAI states on its Data Controls FAQ that conversations are not used to train its models and are deleted from its systems within 30 days. That’s the clearest privacy protection available on a standard account.

How to do it (web or Mac app):

  1. Click your profile icon in the bottom-left corner of ChatGPT.
  2. Go to Settings → Data Controls
  3. Toggle “Improve the model for everyone” to OFF.
  4. Then toggle “Chat History & Training” to OFF.

On the Mac desktop app, the path is the same: click your avatar → Settings → Data Controls. The interface mirrors the web version.

Common gotcha: People turn off history and assume they’re done. But “Improve the model for everyone” is a separate toggle. Confirm both are off — the page shows each independently.

What “done” looks like: Both toggles are gray (off). A banner may appear saying your conversations won’t be saved. That’s correct.

Step 2 — Clear Any Existing Conversation History That Contains Client Info

If you’ve already been using ChatGPT for client work with history on, that data exists in your account. Clear it now.

  1. In ChatGPT, go to Settings → Data Controls → Delete all chats
  2. Confirm the deletion. This removes all stored conversations from your account.
  3. Alternatively, delete specific conversations: hover over a chat in the left sidebar → click the three-dot menu → Delete.

Per OpenAI’s help documentation, deleted conversations are removed from their systems, though their infrastructure timelines for complete purging aren’t specified to the minute — so treat deletion as a forward-looking habit, not a guaranteed retroactive erase.

What “done” looks like: Your conversation sidebar is empty or contains only non-client chats you’ve chosen to keep.

Step 3 — Set Up a “Client-Safe” Workflow for Every Project

Turning off history is the foundation. But the real protection is a habit: never paste raw client-identifying information into ChatGPT when you can avoid it.

Here’s the practical rule: anonymize before you paste. Replace the client’s name, business name, and any specific financial figures with placeholders before sending anything to ChatGPT.

Here’s what that looks like in practice. Instead of pasting:
