How to Use ChatGPT’s Skills Feature to Automate Tasks and Save Hours Every Week

Most people use ChatGPT the same way every single day — they open a blank chat, retype the same instructions they used yesterday, and start over from scratch. The Skills feature was built specifically to stop that cycle.

This guide is for non-technical people who want to set up ChatGPT so it remembers how you work and handles repetitive tasks faster — without coding, without complicated tools, and without retyping the same prompts on repeat. By the end, you’ll have at least one real task running on a reusable Skill.

Fair warning up front: Skills are genuinely useful, but they’re not magic autopilot. I’ll tell you exactly what they can and can’t do — including the one thing almost every other guide gets wrong about them.

What Exactly Is the ChatGPT Skills Feature?

Skills (also surfaced inside ChatGPT’s memory and custom instructions system, which OpenAI has expanded significantly in 2025–2026) let you save a set of standing instructions that ChatGPT applies every time you start a relevant task — no re-explaining required.

Think of it like training a very capable assistant on your preferences once, then having them follow those preferences automatically. You tell ChatGPT: “When I ask you to draft a client email, always keep it under 150 words, use a professional but warm tone, and end with a clear next step.” From that point on, every email draft follows those rules without you repeating them.

Per OpenAI’s official documentation, the feature works across ChatGPT’s memory system and saved custom instructions. The company says memory and Skills-style saved behaviors are available on both the free and ChatGPT Plus plans, with Plus users getting broader memory capacity and priority access. Always

Not sure whether the free plan is enough for your needs? Check out our breakdown: ChatGPT Plus vs Free: Is It Worth Paying in 2026?

Before You Start: A Quick Checklist

  • ✅ You have a ChatGPT account (free or Plus — both work)
  • ✅ You’ve identified at least one repetitive task you do weekly (email drafts, meeting summaries, social captions, etc.)
  • ✅ You’re logged into chat.openai.com on a desktop or the mobile app
  • ✅ Memory is turned ON in your settings (Settings → Personalization → Memory — toggle it on if it isn’t already)
  • ✅ You have 20 minutes to set up your first Skill

One thing to set straight now: Skills are not background automations. They don’t run while you sleep or trigger on a schedule. They save your preferences so each session starts smarter — but you still open ChatGPT and kick off the task yourself. If you want true background automation, you’d pair ChatGPT with a tool like Zapier or MakeMore on that below.

How to Use the ChatGPT Skills Feature: Step-by-Step

Step 1 — Turn On Memory and Open Custom Instructions

Go to Settings → Personalization in your ChatGPT account. Make sure Memory is toggled on. Then open Custom Instructions — this is the main place you’ll build your Skills.

You’ll see two text boxes: one for “What would you like ChatGPT to know about you?” and one for “How would you like ChatGPT to respond?” These are your standing Skill instructions. They apply to every new chat automatically.

Done looks like: Both fields are visible and editable, and Memory is enabled in settings.

Step 2 — Write Your First Skill Instruction (Use This Template)

The most common beginner mistake is being too vague. “Be professional” tells ChatGPT almost nothing. Specific instructions produce dramatically better results.

Here’s a fill-in-the-blank template you can adapt:

Task: [What you’re doing — e.g., drafting client emails]
Tone: [e.g., professional but warm, casual, formal]
Length: [e.g., under 150 words, bullet points only]
Always include: [e.g., a clear call to action, my name at the sign-off]
Never include: [e.g., jargon, filler phrases like “I hope this email finds you well”]
My role/context: [e.g., I’m a freelance designer who works with small business owners]

Paste a version of this into the Custom Instructions box. The more specific you are, the less back-and-forth you’ll need per task.

Done looks like: Your instruction is saved and shows up in the Custom Instructions panel when you reopen it.

Step 3 — Test It on a Real Task Right Now

Open a new chat. Don’t re-explain your Skill — just give ChatGPT the raw task. For example: “Draft a follow-up email to a client who hasn’t responded in a week.”

ChatGPT should produce output that matches your saved instructions — correct tone, right length, your preferred format — without you spelling it out again.

Common gotcha: If the output ignores your instructions, your Custom Instructions may not have saved properly. Go back to Settings and re-check. Also note: very long or complex instruction sets can sometimes get partially ignored — keep each Skill instruction under ~200 words for best results, per broad reviewer consensus.

Done looks like: The draft matches your preferences without you adding any extra context in the chat.

Step 4 — Build a Library of Reusable Prompts for Different Tasks

Custom Instructions are great for standing rules, but for task-specific workflows, save your best prompts in a simple document — a Google Doc or Notion page works perfectly. Label each one clearly: “Weekly report summary,
